How Bizzfo (Pty) Ltd handles your personal information when you use BAM Service Desk — the app, the website and our support channels.

1. Who we are

BAM Service Desk (“BAM”) is the customer support service of Bizzfo (Pty) Ltd, a South African company. It covers the BAM Service Desk app for Android, the website at bamservicedesk.com, our web chat widget, and support conversations over WhatsApp and email. Bizzfo is the responsible party for your personal information under the Protection of Personal Information Act, 2013 (POPIA).

2. Information we collect

  • Account details — your name, email address, cell number, business and store, and your role.
  • Support conversations — the messages, photos, screenshots, files and voice notes you send us, and our replies.
  • Tickets — the support tickets you open or that we open for you, with their comments and attachments.
  • Device information — a push-notification token so the app can alert you, and basic technical logs (IP address, browser or app version, time of request) used to keep the service secure and working.
  • Feedback — ratings you give a conversation or help article.

3. How we use it

  • To sign you in and recognise you when you contact us, on any channel.
  • To answer your questions, fix problems and follow up on your tickets.
  • To send you notifications about your conversations and tickets.
  • To measure and improve our support — response times, service levels, and gaps in our help articles.
  • To protect the service and meet our legal obligations.

4. Our AI assistant

BAM’s assistant answers many questions automatically. To do that, the text of your message — and, for voice notes, the audio, which is converted to text — is sent to our AI provider, OpenAI, to generate a reply. A person from our support team can take over at any time, and you can always ask for one. We do not use your conversations to advertise to you.

5. Who we share it with

We do not sell your personal information. We share it only with service providers that run parts of BAM for us, under their own security and confidentiality commitments:
  • Amazon Web Services (Cape Town region) — hosting, database, file storage and email delivery.
  • OpenAI — the AI assistant and voice-note transcription.
  • Meta (WhatsApp) — when you message us on WhatsApp.
  • Google Firebase — delivering push notifications to the app.

Some of these providers process information outside South Africa. Where they do, we rely on their contractual data-protection commitments, as POPIA requires. We may also disclose information where the law requires it.

6. Security

Information is encrypted in transit (HTTPS). Files you upload to us are kept in private storage and are only viewable by you and our support team. Access to BAM requires signing in, and support staff see only the conversations of the desk they work on.

7. How long we keep it

We keep your account and support history for as long as you are a Bizzfo customer, so we can see the full story when you contact us again. When you close your account we delete or anonymise it, except where we must keep records longer by law.

8. Your rights and deleting your account

You may ask to see, correct or delete the personal information we hold about you, or object to how we use it. To do so — including to delete your BAM account and its data — email support@bizzfo.co.za from the address on your account, or ask in the app’s support chat. You may also complain to the Information Regulator of South Africa (inforegulator.org.za).

9. Cookies

BAM uses a sign-in cookie to keep you logged in and a small number of settings (such as light or dark theme) stored on your device. We do not use advertising cookies.

10. Children

BAM is a business tool for Bizzfo customers and is not intended for anyone under 18.
