SOP: Set Up Bizzfo Online Store and In-Store POS
Objective
This SOP explains how to create a Bizzfo account, upload menu data, use AI to build products and modifiers, activate the online store, and set up the in-store point of sale. It is designed to help a team member launch both sales channels quickly and verify that the store is working correctly.
Key Steps
1. Create and activate your Bizzfo account 0:24
- Go to Start for free and begin account creation.
- Enter the business name, email address, mobile number, and password.
- Click Create account.
- Check your email inbox and complete the activation step.
- Sign in after activation to access the dashboard.
2. Open the dashboard and begin online store setup 0:53
- From the dashboard, review the left-hand navigation for Sell in store and Sell online.
- Start with Sell online to build the storefront first.
- Select the business type as Restaurant/Cafe.
- Prepare to upload the menu file for AI processing.
3. Upload the menu and let AI build the product catalog 1:19
- Drag and drop the menu file into the upload area.
- Wait for AI to process the menu and generate products.
- Review the imported products in Step 2 of 5.
- Edit product names, descriptions, or details if needed.
- Click Save and continue when the catalog looks correct.
4. Generate and review modifiers 1:47
- Choose the option to auto-generate modifiers using AI.
- Allow time for the modifier generation process to complete.
- Review the generated modifiers carefully.
- Confirm that product options, add-ons, and variations are accurate.
- Proceed only after checking that the modifiers match the menu structure.
5. Skip ingredients if not ready, then import the store 2:35
- Review the ingredients/recipes step.
- If ingredient data is not ready, skip this step for now.
- Confirm the number of products, modifiers, and recipes left to complete later.
- Start the import process to push the catalog into the online store.
- Wait for the import to finish before testing the storefront.
6. Verify the online store and confirm products loaded 3:10
- Open the store in the browser using the provided link or default store name.
- Confirm that products and modifiers imported successfully.
- Open the product menu to verify categories and items.
- Refresh the browser if needed to check whether the storefront is visible.
- If the store does not appear, return to setup and confirm the store is active.
7. Activate store hours, delivery, and pickup 4:00
- Go back to Sell online settings.
- Set the store to open/active.
- Configure operating hours for the correct day.
- Enable delivery and pickup as needed.
- Save the settings and ensure the branch is marked as active/show branch.
- Recheck the browser to confirm the online store is live.
8. Rename the storefront and configure store settings 4:59
- Rename the storefront to a clear business name, such as Lloyd Online Store.
- Claim the domain if required.
- Set the primary logo, brand colors, homepage, currency, and payment options.
- Choose the payment provider, such as PayFast.
- Update branch settings and save all changes.
- If using sandbox mode, enter the required dummy/test information.
9. Set up the in-store POS using the same catalog 6:04
- Switch to Sell in store.
- Repeat the setup flow and continue to the recipes step.
- Skip recipes if they are not ready.
- Import the same catalog data into the POS store.
- Confirm the products appear under catalogs and open a menu to verify the import.
10. Create a POS user and test the in-store login 7:00
- Go to the dashboard and open Users.
- Create a new staff user.
- Enter the user name, staff reference, and password.
- Save the user account.
- Log in to the POS using the new credentials to confirm access.
11. Test POS ordering and output options 7:25
- Confirm the POS dashboard loads correctly.
- Select a category and add an item, such as a hot drink.
- Review the product list on the right-hand side.
- Test sending an order to the kitchen.
- Check available output options such as print and email.
- Verify that the POS workflow functions as expected.
12. Use AI setup for future changes and support 8:05
- Return to AI setup when changes are needed.
- Use prompts to request updates such as password changes or configuration help.
- Use AI support to speed up future adjustments.
- Confirm both the online store and cloud POS are working before handoff.
Cautionary Notes
- Do not skip activation: the account must be activated by email before setup can continue.
- Review AI-generated data carefully: products, modifiers, and recipes may need manual correction.
- Be cautious with ingredients/recipes: if AI generates recipe data, verify it before using it in production.
- Confirm store status: if the storefront does not appear, check that the branch is active/open and hours are saved.
- Use sandbox/test payment settings when testing payment integrations to avoid live transactions.
- Ensure the correct day and hours are set for delivery, pickup, and store operations.
Tips for Efficiency
- Upload a clean, well-structured menu file to improve AI import accuracy.
- Start with the online store first, then duplicate the setup for the in-store POS.
- Skip ingredients/recipes initially if speed is the priority, then complete them later.
- Use the browser refresh key if the storefront does not load immediately.
- Keep business details, logo, colors, and payment information ready before setup to save time.
- Use AI prompts for small admin tasks instead of navigating manually when possible.
